The double role

You are packing for the courier — and for the argument

Most packaging advice stops at “make sure it arrives safely.” That is half the job. The other half only becomes visible weeks later, when a return arrives with the wrong product inside, or a buyer claims the box was empty, or a settlement shows a weight-discrepancy deduction you don't recognise. In every one of those fights, the question is the same: can you prove how the parcel left you?

Packaging is where that proof gets created — or doesn't. A parcel sealed with plain brown tape, unweighed and unphotographed, leaves no trail: whatever comes back, you cannot show what went out. The same parcel with a branded seal across the opening, a logged packed weight, and a thirty-second photo becomes a documented object. Marketplace dispute teams respond to documentation, because it is the only thing that separates an honest seller from a fraudulent claim in either direction.

The playbook

Seven packing rules, in the order they matter

Set these up once as a bench routine and they add under a minute per parcel — which is the whole trick: evidence habits only survive if they are fast.

  1. 01

    Match the material to the category

    Garments and soft goods: a quality poly bag (or courier bag with document pouch), ideally with the product first in an inner poly to survive a torn outer. Fragile and rigid items: corrugated box one size up from the product, with paper fill or bubble wrap so nothing rattles. Shake the packed parcel — if you can hear the product move, the courier network will find that gap for you.

    Seal it tamper-evident, always

    Plain brown tape can be cut and replaced invisibly. Branded tape, security tape or serialised seals across every opening cannot — opening the parcel leaves a mark that shows in photos. This is a few rupees per parcel and it is the backbone of every wrong-return and empty-box dispute you will ever file. If you adopt exactly one habit from this guide, adopt this one.

    Respect the volumetric trap

    You are billed on the higher of actual and volumetric weight — commonly the parcel dimensions in cm divided by 5000. A box two sizes too big for the product raises the bill on every order it ships, and a thick wad of fill adds billable grams. Right-size the box, use light fill, and check the divisor and slabs your courier actually applies on the current rate card.

    Weigh the packed parcel, per SKU, and log it

    The weight the courier records is compared against what was declared — a mismatch becomes a weight-discrepancy deduction at settlement. Weigh a finished packed parcel for each SKU once on a decent scale, record it next to the SKU, and declare that number. When a discrepancy deduction still appears, your log plus the parcel photo is the dispute evidence.

    Pack for how couriers actually handle parcels

    Assume throws onto sorting belts, twenty kilos stacked on top, a wet loading dock in monsoon season. That means: no product depending on the outer bag alone, an inner poly layer for anything that water can ruin, corners of boxes taped, and nothing structural about the parcel that a drop from waist height would break. Seller communities are full of photos of what optimism ships like.

    Place the label flat, and never tape over codes

    The label goes on the largest flat surface, not folded over an edge, with the barcode fully visible. Transparent tape across the barcode or QR code can throw scanner glare and cause failed scans — use a document pouch or tape only the label edges. Remove or black out every old barcode on a reused box; a stray code scanned at a hub can misroute the parcel entirely.

    Photograph the packed parcel before handover

    One photo per parcel: label readable, seal visible, ideally on the scale showing the weight. Thirty seconds that turns every future dispute from your word against a claim into evidence against a claim. Store photos by order number, not in a camera roll soup — when a dispute window opens weeks later, findability is the difference between using the evidence and having technically taken it.

The economics

Budget packaging against disputes, not against zero

Packaging looks like pure cost because its wins are invisible: the parcel that didn't break, the deduction that didn't stick, the dispute you didn't lose. Put illustrative numbers on it instead. A garment seller shipping 300 parcels a month at, say, ₹8 of packaging each spends ₹2,400. A single wrong-return dispute lost for want of evidence — product gone, forward and return shipping billed, order value deducted — can take a few hundred rupees to over a thousand with it, and return-heavy months bring more than one.

The trap on the other side is over-packing: a box two sizes up with heavy fill feels safe but adds volumetric and actual weight to every parcel, which the courier bills you for month after month. The target is the middle: right-sized, sealed, photographed. Evidence-grade, not armour-grade.

Marketplace packaging questions, answered

Every marketplace publishes packaging guidelines on its seller panel — typically a sturdy outer layer appropriate to the product (poly bag for garments, corrugated box for anything rigid or fragile), the shipping label flat and fully visible, and no old barcodes or reused labels on the outside. Some categories carry extra rules, like fragile stickers or double-boxing. The guidelines are the floor, not the ceiling: they keep you compliant, but they are written to protect the parcel, not your dispute evidence. For that you need the tamper-evident and photo habits on top.

It attacks two specific failure modes. First, transit damage: a garment in a thin bag or a mug in a single box with no fill has a meaningfully higher chance of arriving damaged, and damaged-on-arrival returns are hard to fight because the buyer is genuinely right. Second, disputes: tamper-evident sealing and photos of the packed parcel give you evidence when a return comes back wrong, empty or used. Packaging cannot stop a fraudulent buyer, but it decides whether the marketplace sides with you afterwards.

As an illustrative budget for a small garment seller: a decent poly bag, a tamper-evident seal or branded tape run, and the label pouch typically land in the single-digit to low-double-digit rupees per parcel. Fragile categories cost more — box, bubble wrap or paper fill, tape. The mistake is judging that number against zero instead of against what it prevents: one wrong-return dispute lost for want of evidence, or one damaged-in-transit refund, usually costs more than a full month of better packaging.

Because you are billed on the higher of actual weight and volumetric weight (commonly length x breadth x height in cm divided by 5000), and packaging adds to both. A bigger box than the product needs inflates volumetric weight; heavy void fill inflates actual weight. Worse, if the weight the courier records differs from what your listing declared, you get a weight-discrepancy deduction at settlement. Weigh a finished, packed parcel for each SKU once, record it, and declare that — not the bare product weight.

Anything that shows visible, hard-to-hide damage when opened: security-printed tape, branded tape with your logo, serialised seals or stickers across the opening. It costs a few rupees per parcel and it changes the shape of a dispute. When a buyer claims an empty box or a return comes back with the seal replaced by plain tape, your outbound photo of an intact branded seal is concrete proof of how the parcel left you. For small sellers in return-heavy categories it is one of the highest-value habits available.
